Activity report: Elina Goman is presenting the Activity report on ESN Tallinn events. Autumn Semester consisted of 49 events. Number of students was higher than ever before and we had a lot of active students. With events ESN Tallinn continued with some old traditions but found new places to organize them in, for example Spa Party in Reval Spa. Some of the new events were added, for example Board game night, Animal party and Karaoke night. The biggest trips to Lapland and St. Petersburg in ESN Tallinn history together in cooperation with OÜ Marmot. ESN Tallinn joined ESN Finland’s National Event : Pirates of the Baltic Sea and SocialErasmus team in Tallinn organized the ESN SocialErasmus Charity Concert. New videos from 12 different events, thanks to Branding Team and Ailer Tamsalu. Banners and covers for events were made by Kadi Kerner.
For Members: Jaana Albert is presenting ESN Tallinn events for members. Jaana Albert and Matis Palm went to Annual General Meeting in Ankara. Elina Goman and Matis Palm went to Northern European Platform in Bergen. Motivational & Training weekend for new members (a new event) 2 day event outside the city, having fun while learning about ESN was organized in the start of the
semester and a new one is already planned for the next semester. In addition, ESN Tallinn had countless numbers of sauna nights and a visit to Exit Room facilities. ESN Tallinn members also had the possibility to go to trips to Lapland and St. Petersburg and Latvia/Lithuania. In Christmas, ESN Christmas Party in Tallinn was held for all sections in Estonia (organized by our section).
Cooperation with other sections Jaana Albert is presenting ESN Tallinn Cooperation with other sections and ESN Tallinn involvement on national level. SocialErasmus is organized together with all the sections in Tallinn. There’s a team in Tallinn with members from all the sections. As before the Football Tournament was organized together in cooperation with ESN TUT IC. We continued cooperation with Estonian Research council with whom science events have been organized. Now we are also signing and official contract of cooperation together with them. Ailer Tamsalu and Heleri Saarvelt are ESN Estonia’s National Event (Estonian Wedding) coordinators. Elina Goman is the National Coordinator for ESN Swedens National Event ESN Sea Battle and ESN Finland’s National Event ESN Pirates of the Baltic Sea.
ESNcard Partners: Matis Palm is presenting ESN Tallinn’s new general partners and ESNcard partners. SIMcard provider was changed from Tele2 to Elisa due to the ending of the previous contract and no interest from Tele2 of continuing the previous contract. Next semesters students will be provided with ZEN prepaid mobile cards. Also a contract is in the works. Matis Palm has been together with Liina Reimann and Krystina Mertova finding new partners.
New deals with ESNcard : ● Artis Cinema discount on cinema tickets prices are for 4.5€ for normal 2D and 3D movies (agreed to promote their events too), ● Shooters 20% discount (MondayWednesday private events, Erasmus shot), ● Pitas 10% discount(Thank you, Nikos!), ● Reval Sport (Spa and Gym student discount, Spa Party), ● Talks are going on with Smoky Saloon and Sex Püstols. Partnership Team (Kristyna Mertova and Liina Reimann) contracts, proposal letters, management documents, list of discounts etc. New semester: new design of card (International changes), more contracts, visiting partners. Branding Team: Members gadgets (Tshirts, hoodies), videos, photos, banners, ESN Diary, implementation of the Visual Identity Manual (ESN International)! More ideas we’re working on constantly.
Q&A Q: How do you plan to promote the partners as until now the promotion has been lacking? Matis : One thing we plan to have in the Newsletter is “Partner in the Spotlight”. Until now promoting during the events. Q: Aliis : Are there going to be Tshirts for students because students are interested of having them? Matis : We first decided to make the tshirts for members and then go on with the ones for students. We are making them as soon as possible. (Together with the Branding Team and Manager) Q: Aliis: ESN Tallinn Bags can we have some sponsor things inside the Welcome Bags? Jaana: Yes, Archimedes cancelled the Welcome Bag project, so we need to ask our partners and sponsors for items to include inside in our bags now. (Good advertising place for our partners) Q: Aliis : Have there been Erasmus+ Coordinators meeting and trainings for members?
Jaana: In Autumn there was no meeting with coordinators, but now on the next week , on 26th of January we will have a meeting. In autumn it did not happen due to busy schedule of coordinators. For Members we had the training weekend in October. Q: Aivar: Have there been any Movin’ Europe events? Jaana: This semester no. Matis : There has been nothing in Estonia. Now there is a new National Coordinator Olga Sokalova from ESN Tartu. Q: Aliis: Is there going to be a Winetasting event next semester? Elina: Yes. This semester we will have one. Action Plan for Spring Semester 2016 is up on Google Drive for everyone to look and comment. Feedback from Elina. Q: Aliis : Any places where not to organize events? Elina: Bayern because of the attitude. Studio as they have inside miscommunication, but they are always welcoming our events. MariLiis: The manager of Bayern told that with one section or university when they lost all income as they were closing the doors and not letting others to enter. Q: Tõnis: Are you looking through the student feedback to look for the errors? Elina : Yes, but the students are not answering so much.
Financial Report
Q: Aliis : How are things with the ESNcard? Matis : ESN Estonia buys them from ESN International for 1€ per card. We buy them from ESN Estonia with 2.20 euros per card. We sell them to ESN TUT IC and ESN TU IC for 4.20 euros per card. The card to students is 10 euros. Q: Etienne : Are you planning to find extra partners next to Marmot who are sponsoring with finances? Matis: Yes, currently there is Shooters, but we have not received the payments yet.
Q: Etienne : Is there a plan to use this money or you leave it? Matis: It is good to have it as backup, as the universities have different deadlines to pay and we have Welcome Week getting here soon. We are planning to buy important things for the section like projector and professional camera and flash. Q: Aliis : Financing members to join Estonian Wedding? Matis: We have actually had this for last 3 years and of course we are going to do this this semester too. It will be to motivate our members, the dates are 20th22nd of May

Vicepresident position: Jaana Albert Presentation: Candidating for my second mandate.I have lived in Tallinn for 4 years, candidating for half a year (one semester). Optimistic person, easily motivated, a total night owl (likes to work at nights). Vice President since January 2015, together with Merilin (for half a year). Still has the motivation and the knowledge to continue the tasks of the Vice President. Jaana is the main contact person for ESN Tallinn. Has more ideas what to improve and do for ESN Tallinn. Is motivated by happy and smiling members,
Q&A: Q: Etienne : Why only for one semester? Jaana: I am graduating from University in June and I am leaving Estonia in September and I am not sure when I am coming back. I do not want to promise to be vicepresident for a year, because once I leave Estonia I cannot be present and I think that vicepresident is one person who has to be on spot all the time. Q: Aliis: How is it with SocialErasmus as you have been the coordinator until now? Jaana. Well, yes now the task will be given to the Project Manager as I understood that it is difficult to give 100% to both at the same time. For me it was more that when I made VicePresident tasks, then I made them and if I made SocialErasmus things, then I wanted to concentrate on it. I will still continue to go to SocialErasmus events because it is so close to my heart and I will continue for a while with SocialErasmus team until I give all the tasks over to Project Manager. Q: Tõnis: What are the right reasons to be here? Jaana : I think that being a member of ESN is already a right reason to be here. Marketa: Isn’t graduating taking a lot of time and how it will be with ESN then? Jaana: Well, I just have one subject left and I am already have half done with my final project.
Partnership Manager: Liina Reimann Presentation: What I have done in my life? I was the president of my student council. The biggest event I’ve been organizing , is the dance competition “Slide”. Last year I was project manager so I made everything from scratch. What have I done in ESN? Organizing Karaoke night with Liisu, working on partners, made a deal with Artis. Currently I have 10 partners on my list with who to contact. Why me? Event organizing is my passion. I have the experience of working with different companies. I do not have a problem contacting people. I know different ways to contact partners. I give 100% in everything. Currently we are not promoting our partners enough to get more partners and to show that they get something from us. We should have more partners also from outside of the city center. Main thing I want to do is for events when we have awards etc and we can have things from our partners, not only one event, but for much longer time period.
Q&A: Q: Tõnis : You said that we should promote more partners on social media, but where is the line of overpromoting? Liina : With Events where there are sponsors. We can use different angles for promotion. We should also make the newsletter thing, so we would always promote them. Use more different social media channels. Also, maybe in the end of the videos use logos of our partners included and more partners are willing to contact us. Q:Tõnis: Give me your best idea you have? Liina : I do not have that one idea, the main thing I want to do is that we would not use our own money for prizes, but that we have partners and sponsors who are giving them for free. Q: Kadi: How you choose a partner? Liina: You have to think what you can give them and what they can give to you. Also, when there are too many from the same field, then rather go for the partner from other fields. It is important to look for different partners, so they will not lose interest in us. Q: Kadi: Most promising partners? Liina : I actually wrote down list of 20 possible partners. Things that students actually need as dental care and hairdressers.
Q: MariLiis: What about old partners? Liina : Contacting and seeing if they are interested of renewing contracts. Q:Etienne: What does ESN have to offer to the partners? Liina: Students get to know their company and use it. Their products. Really big group of customers EACH semester. Q: Aušra: How you find partners? Liina: It takes a lot of time of googling. Sometimes I go around the city and see things and write them down and make research on it. Q:Tõnis: What you think about condompartner? Liina : You can give them about on events. Promoting condompartners is the one of the easiest things as you actually do not have to talk about it.
Branding Manager: Ailer Tamsalu Presentation: I am Ailer. My hobby is folkdancing and I am working in the military. Why me? I have done a lot of things in ESN Tallinn, for example the Tshirt. I am an open person. I would like to make more details. I am motivated and have so many ideas. We want to make ESN Tallinn and ESN Estonia more visible for outside of ESN.
Q&A: Q: Etienne : Can you give more details what have you done in Branding team? Ailer : In addition to Members Tshirts, hoodies, Student Tshirt in the plans, blankets for trips. As we lost Archimedes then the things also for the Welcome Bags. Q: Etienne: Do we have to buy them all? Ailer : Well, some of them yes, but we are also finding partners and trying to get the cheapest prices. Q: Tõnis : What do you think that in your personality you need to improve for this position? Ailer: I am perfect!
Q: Matis : How do you plan to show logo more? Ailer : One thing that the Board is talking about is the Facebook cover and gadgets. Q: Etienne : You have skills for videos, but do you have skills for visuals? Ailer : I have Kadi and Indrek at the moment for that Q: Kadi: How do you describe the personality of ESN Tallinn? Ailer : Friendly, active, motivated. Q: Kadi: Is it better to be quick or take more time and do better? Ailer : take more time and do better Q: Aušra : What do you like ESN? Ailer : I like motivated people Q: Ilaria : Why did you join ESN? Ailer : I have been in ESN for 3 semesters and I had Heleri and Henri here and during my first event as main organizer, I found out what ESN is and how it works. Q: MariLiis: What do you know about Social Media and promoting? Ailer : I am thinking to patent ESN Tallinn logo, maybe with the help of Aliis. Q: Indrek: as a candidate for Branding Manager, why didn’t you have a presentation? Ailer : What is the use of 2 page introduction saying who I am and how old I am? Q: Matis : How are you as a team player? Working under someone? Ailer: I am good with teamwork and I am great leader. I am making compromises and good at negotiations. Q: Aliis: I see that other members are doing a lot of things, as a Board member you have to do other things. How you take criticism? Ailer : Yes, once the president asks something, I would do it.
Projects Manager: MariLiis Ling Presentation: I do not have the presentation as I have only tablet. I have been in ESN a bit more than a year. I have seen many ups and downs. Project Manager job is a new thing for me and I am looking at it as an challenge. I feel that in every position you have to be open to everything.
You need to have personal contacts. I have been volunteering in many projects. I am also on the highest position in our Tallinn University student council. I feel that with Project Manager we can take our section to the next level and improve SocialErasmus and other projects. With this fragile situation in society, we can actually show that there are different views. TO take all students who are interested in SocialErasmus and people in Estonian society together.
Q&A: Q: Aliis : Do you have any extra ideas for SocialErasmus events? MariLiis : I have some ideas. One idea I had from Christmas cards is connecting students with for example SOS Community and make them exchange with students. I have ideas how to use more university councils to cooperate with us in SocialErasmus. Q: Tõnis : I know you have 2 jobs, also in student council, and now you plan to take this job? Where do you take this time? MariLiis : I am flexible in my time and I can manage my time. I just feel that this is the place where I can give back more. Q;Matis : How would you promote SocialErasmus or ExchangeAbility to Estonian students? MariLiis : first contact student councils and then find the people interested in this job. I have heard from Student Council that they hear about the events but they know that we have not used their power to attract people. Q: Aliis : You are really experienced member and it is like a great stepup for you in ESN. It is great. MariLiis: I really feel that it is place to give back more and give more to next generations. Q:Kadi: I also see that you are in most events. Are you now continuing what you have done until now, for example Quiz Tournaments or take on only new tasks? MariLiis : I would still be around to be helper and share my knowledge. But I am putting my tasks in the first position. Q: Kadi : Project Manager means a lot of different projects. what is the first project you are taking on? MariLiis : I saw last semester that SocialErasmus is the one projects that students are doing and they like it and I would like to improve it. Of course, I would like to make also Movin’ Europe and I would like to work with ESN Estonia National Coordinator to make something.
Information Manager: Agustin Presentation: Thanks for waiting for me. I appreciate you for the time. I would like to candidate for IT and Communication Manager position. I have been working in ESN Tallinn with the ESN Diary. I got interested of doing more things with ESN. My proposals what to do as IT and Communication Manager are the following. Start again with ESN Newsletters that provide information about 23 weeks. Accurate help for students on time by communicating events and relevant information reliably. Also, all the media to centralize to one account where we can but all the photos and video things in one easy place. Currently all the photos are in different places different folders, sites, computer and we would put everything into one simple place. Providing practical information for students, that universities do not provide and we could provide them to students. Something that I am passionate about is communication and I would like to establish open door policy so that students are motivated to contact us with their problems. It is important to discuss how to do things, in every 2 weeks or month we should make a meeting to communicate what we have to do next and what information to provide. We would like to implement a priority list. We should make it so that we know that they definitely know about what they need to. I like to understand why some things do not work and how to make things work. I would like to see everything we do as a teamwork and we have to commit to deadlines, so that information will be sent out on time.
Q&A: Q: Matis : I have a question about your ideas for a centralplatform. Agustin : I know that there is Flickr and to make the process clear to everybody, so that things are easy and provide all information at once. Q: Tõnis :How do you determine when it is too much information for students? Agustin : I think we can ask former students and we can have categorized Newsletters. I think we shouldn’t put too much photos on facebook and then share the link to the main albums.
Comment: Aliis: You were also in ESN Diary team. You could actually make it in ESN Diary to include the questionnaire about how it worked out for the students and what did you like etc. (not a real question) Q: Aušra: You before said that it is important to see that team works. How to make teamwork? Agustin : One thing that works is to go on and just go on and on with asking and make everybody work. Don’t let people go away before they give you away. Q: Mohamad: Are you including sites also like Bitrix24? Agusti n: For Diary we did not really use it. Matis : we are using Slack with some teams. Q: Aivar: Don’t some of these services cost money? Agustin: we have to pay for some of the things and we have to go over the budget. I would like to make a research on it before. MariLiis: What is teamwork for you? Agustin: Same deadline and goals. If anyone has problems then others will help out. There is a lot of communication and listening. Q: Indrek: Middle person to see what is more important to students? Agustin: This semester to take newsletter on and by next semester have it in great shape. It is not that we can do it overnight, it will take time. Q: Tõnis: What will you do when you think you have a good idea, but the other board disagrees? Agustin: I try to convince them first, but maybe it was not a good idea at first. Q: Matis : What is your favorite color? Agustin : reddishbrown
